Make Changes to a PLG using the Web Console

Here are the steps to access the Manage PLGs screen using the Web Console:

1.    Go to your Web Evidence Console login page: https://web.evidenceforlearning.net/efl/login/

NB: If you have not yet set up the Web Console for your school please see this set of articles in the EfL Resource Centre (https://resources.evidenceforlearning.net/category/199-setup-your-web-evidence-console)

2.    Enter your schools "domain" in the 1st box and in the 2nd and 3rd box enter your unique Username and Password (the same as you use to enter into the assessment area of the App). 

NB: For quicker access, use your school's customised URL: https://web.evidenceforlearning.net/efl/login/"yourschoolsdomain"

3.    Once logged into the Web Console, Tap/Click Admin (top right) and then Tap/Click PLG Manager.

4.    You will now be on the Manage PLGs screen.

5.    Depending on the changes that you want to make to a PLG, select the relevant section of this guide:

Change the owner of a PLG

Change which Assessment Users can access the PLG Assessment Book

Edit a PLG Framework (including adding or changing the Schema)

Approve changes submitted by an Assessment User

Change the owner of a PLG

1.    Access the Manage PLG Screen(steps above).

2.    All the PLGs that you are the owner of will be displayed.

If you are an Assessment Manager and you want to see all the PLGs, Tap/Click Show All PLGs (top right) and the switch will go to the right and all the PLGs will be displayed. 

If you are Assessment User, the Show All PLGs option will not appear. 

Assessment Managers or an Assessment User who is also the owner of the PLG, can submit changes to a PLG Framework, including adding or changing a schema used for Assessment.

Tap/Click the Pencil Icon to the right of the PLG that you want to edit.

3.    Tap/Click Settings (top right).

4.    Tap/Click the drop down arrow to the right of Owner.

5.    Tap/Click on the Assessment User/Manager that you want to be the owner of the PLG.

6.    Once you Tap/Click on the name of the new owner, it will be immediately updated and a message stating that the owner was updated successfully will be displayed (top right).

7.    To return the Manage PLGs screen Tap/Click PLG Manager (top left).

Change which Assessment Users can access the PLG Assessment Book

1.    Access the Manage PLG Screen. Here are the steps to access the Manage PLGs screen.

2.    All the PLGs that you are the owner of will be displayed.

If you are an Assessment Manager and you want to see all the PLGs, Tap/Click Show All PLGs (top right) and the switch will go to the right and all the PLGs will be displayed. 

If you are Assessment User, the Show All PLGs option will not appear. 

Tap/Click the  Pencil Icon to the right of the PLG that you want to edit.

3.    Tap/Click  Settings (top right).

4.    Scroll down and all the Assessment Users and Assessment Managers that have been given specific permission to access the Assessment Book of the PLG will be displayed. Remember, that you don't need to give specific permission to an Assessment Manager to access an Assessment Book, as they can access all Assessment Books.

To give access to a member of staff to access the Assessment Book, Tap/Click in the empty space in the box underneath "Assessment Book permissions for this PLG".

5.    Once you Tap/Click on the name of an Assessment User, it will immediately be updated and a message stating the Assessment User permissions for the PLG was updated successfully will be displayed (top right).

6.    To remove permission from a member of staff to access the Assessment Book Tap/Click the cross to the right of their name.

7.    Once you Tap/Click on the name of an Assessment User, it will immediately be updated and a message stating the Assessment User permissions for the PLG was updated successfully will be displayed (top right).

8.    To return the Manage PLGs screen Tap/Click PLG Manager (top left).

Edit a PLG Framework (including adding or changing the Schema)

1.    Access the Manage PLG Screen. Here are the steps to access the Manage PLGs screen.

2.    You will see all the PLGs where you are the owner.

If you are an Assessment Manager and you want to see all the PLGs, Tap/Click Show All PLGs (top right) and the switch will go to the right and all the PLGs will be displayed. 

If you are Assessment User, the Show All PLGs option will not appear. 

Assessment Managers or an Assessment User who is also the owner of the PLG, can submit changes to a PLG Framework, including adding or changing a schema used for Assessment.

Tap/Click the  Pencil Icon to the right of the PLG that you want to edit.

3.    Tap/Click the Pencil Icon (top right).

4.    You will then be on the Edit a PLG Framework screen.

5.    Make the changes to the Framework of the PLG.

To add another heading or outcome:

a) Tap/Click on the item above where you want to add a new heading/outcome and then Tap/Click + (right side)

b). Write in the new item. 

If it is a heading or a target that you don't want to assign evidence to, ensure the Enable Evidence Capture switch is off and Tap/Click  Add.

 If your adding a new outcome that you want to be able to link evidence to, ensure the Enable Evidence Capture switch is on and then Tap/Click Add.

To edit an item:

a) Tap/Click on the item that you want to edit and then Tap/Click the pencil icon (right side)

b) Make the changes to the item and then Tap/Click OK (bottom right).

To duplicate an item:

Tap/Click on the item that you want to duplicate and then Tap/Click on the duplicate icon (right side).

To change how an item is indented: 

Tap/Click on the item/s and then Tap/Click the left or right arrows (right side).

To delete an item: 

Tap/Click on the item that you want to delete and then Tap the Recycle-bin icon (an item cannot be deleted if evidence is linked to it)

To change the order of items:

Tap/Click the holding handle to the right of the item you wish to move. You can then move the item up and down within the framework.

To review, add or remove a Schema:

a) Tap/Click Schema (top and middle).

b. This will take you to the Edit PLG Assessment menu.

To add a Schema:

Tap/Click  Choose Schema to the right of the item that you want to add a Schema to, and then select the schema and then Tap/Click Set.

To change or remove a Schema:

Tap/Click on the assigned Schema and then select None or the select the new Schema and then Tap/Click Set.

c. To return to the Edit PLG Framework menu Tap/Click Framework (top and middle)

6.    When you have finished editing the PLG, you can either Save the changes and return to them later or you can submit the changes for review. 

To save the changes so that you can return to them later:

Tap/Click Save (bottom right).

Once the changes are Saved they will be visible on both the Web Console and within the iOS App on a device. You can continue to make the changes using the Web Console or within the iOS App on a device.

To submit the changes for review:

Tap/Click  Submit for Review (bottom right).

7.    Enter the reason for the change and Tap/Click Submit and then Tap/Click Review.

8.    You can see the changes that you have submitted highlighted in red. 

If you are an Assessment Manager, you can approve the changes and make them live by Tapping/Clicking Approve (bottom right).

If you are an Assessment User, then the changes that you have submitted will need to be approved by an Assessment Manager before they become live. 

If you want to alter the changes that have been submitted, then Tap/Click Cancel Review (bottom left) and Tap/Click Yes to confirm that you want to withdraw the PLG from review. 

This will put the PLG back into Edit mode and at the stage that you submitted the changes. You can continue to edit the PLG before submitting the changes again. 

If you want to cancel all the changes that you have started to make then after cancelling the review, Tap/Click Abandon All Changes (bottom left). Please note that once changes have been abandoned, they cannot be recovered.

9.    To return to the PLG Manager Screen Tap/Click PLG Manager (top left).

Approve changes submitted by an Assessment User

1.    Access the Manage PLG Screen. Here are the steps to access the Manage PLGs screen.

2.    Tap/Click Changes Pending (top and middle).

3.    To see all the PLGs that have changes pending Tap/Click Show All PLGs (top right). 

Tap/Click the pencil icon to the right of the right of the PLG.

4.    Tap/Click the pencil icon (top right)

5.    You will see the changes that have been submitted highlighted in red.

6.    You can change the Framework view to see the current version, the proposed version and the reasons for the changes (top and middle).

To Approve the Changes Tap/Click Approve (bottom right).

If you want to alter the changes that have been submitted, then Tap/Click Cancel Review (bottom left) and Tap/Click Yes to confirm that you want to withdraw the PLG from review. 

This will put the PLG back into Edit mode and at the stage that the user submitted the changes. You or the owner of the PLG can continue to edit the PLG before submitting the changes. 

If you or the owner of the PLG, wants to cancel all the changes that they have started to make, then after cancelling the review, Tap/Click Abandon All Changes (bottom left). Please note that once changes have been abandoned, they cannot be recovered.
