What is the difference between saving evidence as DRAFT (Orange) or PUBLISHED (Green)?

Evidence will either be in the Cloud or on the device used to originally gather that evidence.

Two factors determine where any piece of evidence is saved (to the device or the Cloud):

(1)   Is the device online or offline at the time you save the evidence?

(2)   Is the evidence set to Draft or Publish?

When gathering new observations, if you set a piece of evidence to "Publish" (green) before saving, then provided that your device is connected to the Internet, the evidence will be saved to the Cloud Profile for that Learner in the Cloud when they tap "Save". 

If the evidence is set in "Draft" mode (orange), then the evidence will be saved to the device only.

If the evidence is set to "Published" (green) but the Internet was either off or the connection not good, then that evidence will be saved to the device only.

You can return to Draft evidence that is on your device and switch the status to Publish. The system will then log it as ready to be sent to the Cloud.

If you have Published evidence that has not been sent to the Cloud (e.g. because the device was not connected to the Internet at the time), the Cloud Status button in Device Admin (Settings) will have an amber circle and will display how many such records need to be saved to the Cloud. You can force the system to start saving these to the Cloud by tapping the Cloud Status button. When the transfer process is complete and all published records have been saved to the Cloud, the circle will turn to green. Note: if there are draft records (evidence) on the device, this will not be saved to the Cloud as part of this process.  

Tips:

We recommend that you always set evidence to ‘Publish’ before saving. This will ensure it is saved to the Cloud (as long as you’re connected to the Internet) and so your evidence will be accessible by other colleagues. It will also be backed up and protected in the Cloud.

Evidence stored in the Cloud can still be edited directly in the Cloud from your device, you can also use any other device that is Paired with the Cloud to edit the evidence, this is great when collaborating with colleagues.

When you edit evidence that is in the Cloud, you are editing it in the Cloud. Ie.. you are not downloading the evidence to your device.

Once a piece of evidence is in the Cloud, it can be reverted to Draft if need be.
