Step 4: Edit Assessment Books that are not linked to a PLG

There will be times that due to changes in staffing or in terms of Learners that you will want to update and change and existing Assessment Book.

Please note that all evidence and judgements are recorded and stored against a Learner and a Framework. Therefore, making changes to the setup of an Assessment book does not effect or delete evidence or assessment judgements that have already been made.

Step 4:           Edit Assessment Books that are not linked to a PLG
  • Change the name of an Assessment Book
  • Link a Group (or change the Group) that is linked to an Assessment Book
  • Manually Change the Learners in an Assessment Book
  • Change which Assessment Users can access the Assessment Book

On an iOS device: 

Here are the steps to change the name of an Assessment Book:

1.    From the main screen of the App with the animated stars and the word "Capture", Tap on the Cog (top left).

2.    Tap on Cloud Admin (top right), enter your Cloud Admin Password and Tap Continue.

3.    Scroll down and Tap on Assessment Books.

4.    Tap on the Assessment Book that you want to edit.

5.    Tap on the name of the Assessment Book.

6.    Tap on the Name of the Assessment Book to Edit it. When you have completed editing the name Tap Save (top right).

6.    You may also want to make other changes to the Assessment book (see below). To return to the Cloud Admin menu Tap < Assessment Books (top left) and then Tap < Cloud Admin (top left).

Here are the steps to add or remove Learners from an Assessment Book:

1.    From the main screen of the App with the animated stars and the word "Capture", Tap on the  Cog (top left).

2.    Tap on Cloud Admin (top right), enter your Cloud Admin Password and Tap Continue.

3.    Scroll down and Tap on  Assessment Books.

4.    Tap on the Assessment Book that you want to edit.

5.    Tap Set Learners for this Assessment Book.

6.    To add a Learner/s to the Assessment book Tap + (top right), select the Group the Learner is in or Tap All Learners. 

7.    Tap on the Learner/s that you want to add to the Assessment Book (a tick will appear to indicate they have been selected. Once you have selected all the Learners that you want to add, Tap Done (top right).

8.    You may also want to make other changes to the Assessment book (see below). To return to the Cloud Admin menu Tap < Assessment Book (top left) and then Tap < Assessment Books (top left) and then Tap < Cloud Admin (top left).    

9.     To remove Learner/s from an Assessment Book follow the above steps 1-5. When you can see the list of Learners that are in the Assessment book to remove a Learner swipe left on their name and then Tap Delete.

10.    You may also want to make other changes to the Assessment book (see below). To return to the Cloud Admin menu Tap  < Assessment Book (top left) and then Tap < Assessment Books (top left) and then Tap < Cloud Admin (top left).    

Here are the steps to change which members of staff can access an Assessment Book:

Remember that Assessment Managers do not need to be given specific permission to access an Assessment book.

There will be time though that you want to give a member of staff permission for an Assessment Book and also times that you want to remove their access.

1.    From the main screen of the App with the animated stars and the word "Capture", Tap on the  Cog (top left).

2.    Tap on Cloud Admin (top right), enter your Cloud Admin Password and Tap Continue.

3.    Scroll down and Tap on  Assessment Books.

4.    Tap on the Assessment Book that you want to edit.

5.    Tap Set Permissions for this Assessment Book.

4.    To give a member of staff permission to access the Assessment Book, Tap + (top right). Tap the name of the Assessment User that you want to give permission to and a tick will appear. When you have selected all the members of staff that you want to add permission for Tap Done (top right).

5.    To remove Permission from an Assessment User to access the Assessment Book, follow the above steps 1-3. When you can see the list of Assessment Users to remove a member of staff from the list who can access the Assessment Book swipe left on their name and Tap Delete.
